Prepare a clearer enquiry, compare the same work scope and agree the records your team needs when the systems are handed over.

Describe the building and the outcome you need
A useful fire protection enquiry starts with the facility. Tell the team the building use, location, existing systems and the work you are planning. A new installation, a system upgrade, a review and an annual maintenance enquiry each need a different set of deliverables.
Compliance BD’s engineering and product teams use this information to discuss the relevant system scope. Share drawings and records that are available, and identify the areas that still need review. Agree which services are included before comparing equipment prices.
Use the BOQ as a shared starting point
A bill of quantities or equipment schedule gives suppliers a common basis for their proposals. Include the specified manufacturer and model where known, quantities, accessories and the documentation required for review. Ask the project engineers to resolve requirements that remain unclear.
When evaluating quotations, compare the same equipment and work. Check whether transport, installation, system interfaces, testing and handover are included or excluded. Record assumptions and discuss variations through the agreed project process.
- Models, quantities and accessories
- Applicable manufacturer and system documents
- Site responsibilities, exclusions and delivery arrangements
Agree testing and handover records early
Testing and commissioning should be part of the proposed scope where required. Ask the contractor which tests will be agreed, what records will be provided and how the project team will review them. Discuss as-built information and operator handover before the installation reaches completion.
Any submission, audit-facing or inspection support should have defined responsibilities. Review outcomes depend on the facility, completed work, documents and the reviewing authority. Agree the required support in writing rather than assuming an outcome from a marketing statement.
Plan the next stage of system care
After handover, the installed systems still need the maintenance arrangements agreed for the facility. Discuss inspection coverage, service contacts, spare-parts requirements and the terms of an annual maintenance proposal with the team.
